Wired vs Wireless Network for Your Office: What Sheffield Businesses Need to Know

"Can we just use WiFi, or do we actually need cables?" We get this on almost every commercial site visit. Almost. And the honest answer, which lands better on some days than others, is that for most offices, you need both. Let me explain what I mean by that, and more importantly, how to work out which bits are which.

Why This Question Matters More Than It Seems

Network infrastructure is one of those things businesses don't think about until it's causing them problems. Then they think about it constantly. An office where the WiFi drops during a client call, where the file server takes thirty seconds to respond, where someone's Teams video goes blocky every afternoon when the neighbouring office fires up their microwave. That's a business problem, not just a technology problem.

Getting the wired-vs-wireless question right at the start, especially if you're moving into new premises, refitting, or expanding, saves a significant amount of grief and money later. Retrofitting proper cabling into a live, occupied office is disruptive and expensive. It's the kind of job that's ten times easier when the walls aren't plastered yet.

The Case for Wired: It's Not Just About Speed

Ethernet is faster and more reliable than WiFi. That's not a preference, it's physics. Cat6 cable gives you multi-gigabit throughput with essentially zero latency variation. WiFi, even the latest generation, uses shared radio spectrum, is susceptible to interference from other networks and devices, and delivers variable performance based on distance, obstructions and how many clients are competing for airtime simultaneously.

For most office tasks (email, web browsing, light file access) the gap is barely noticeable day to day. But for some workloads, it's significant. Video conferencing that needs to stay stable for ninety minutes. File servers getting hit by twenty people at once. PoS terminals that absolutely cannot drop during a transaction. IP phones. CCTV feeds recording continuously to a local NVR. CAD files being pushed across the network to a plotter. Any of these really should be on a cable. Not because WiFi can't theoretically handle it, but because wired connections simply don't have bad days.

There's a security dimension too. Wired connections are inherently harder to intercept than wireless ones. For businesses handling sensitive client data, financial transactions, or anything regulated, having the most critical systems on cable rather than airwaves is just sensible practice.

The Case for Wireless: It's Not Inferior, It's Different

Here's where I want to push back slightly on the assumption that wired always wins. It doesn't, because installation cost and disruption are real factors, and for plenty of devices WiFi is entirely appropriate.

Retrofitting ethernet cabling to an existing commercial space means surface-mounted trunking, cores through walls and floors, patch panels, switch cabinets, and the disruption that comes with all of that. In a leased property where you can't chase walls, the visual impact is considerable. For a business where the majority of users are on laptops anyway (moving between desks, working from meeting rooms, sometimes from home), fixed ethernet drops at every workstation may genuinely be overkill.

WiFi also handles the things that genuinely can't be cabled: mobile phones, tablets, wireless printers, IoT devices, visitor guest networks. You'll always have a wireless layer regardless. The question is just what else sits on it alongside.

The Answer Most Offices Actually Need: Both, Sensibly Applied

On virtually every commercial job we do, the answer is a hybrid network, and the design decision is simply: what gets a cable?

The rule of thumb we work to: anything static and performance-critical gets wired. Everything mobile or lower-priority lives on WiFi. In practice, that typically means:

  • Wired: servers, NAS drives, fixed workstations, PoS terminals, IP phones, CCTV cameras, access control hardware, and the access points themselves (APs are powered over ethernet; they're wired devices that create wireless coverage)
  • WiFi: laptops, mobile phones, tablets, visitor devices, wireless printers, smart office kit

The WiFi layer runs on a properly designed Unifi system, with APs positioned to give full coverage without dead zones, with separate VLANs for staff, guests and IoT devices, and a managed firewall keeping everything appropriately segmented. It's not just a router with some access points bolted on. It's a designed network, and the design is what makes it reliable.

What Structured Cabling Actually Involves

"Structured cabling" is one of those phrases that sounds more complicated than it is. In practice, for a typical Sheffield SME, it means Cat6 cable running from each desk drop and AP position back to a patch panel, usually mounted in a small wall cabinet or rack in a comms room or large cupboard. The patch panel connects to a managed PoE switch, which connects to your router/firewall.

Done properly, it's a clean, fault-tolerant installation that'll serve the business for ten to fifteen years without needing to be touched. Every port is labelled. Every run is tested to standard. If something goes wrong, a cable gets damaged, a port stops working, it's traceable and fixable in minutes. No more standing in the comms cupboard staring at a tangle of unlabelled cables wondering what any of it does.

Done badly, which we see more often than we'd like when taking on a network someone else installed, it becomes a permanent background annoyance. Cables packed into trunking with no labels, runs that push past the 90-metre Cat6 specification, a switch jammed into an airless cupboard beside the boiler. All of these create problems, just not immediately, which is somehow worse.

When WiFi-Only Is Actually Fine

I should be honest here. There are scenarios where a wireless-only approach is perfectly reasonable, and recommending cabling for the sake of it would be wasting your money.

A small creative studio or co-working space where everything's on laptops and the only hardwired device is a NAS: probably fine with a couple of well-placed APs and one cable. A small retail unit where the only fixed requirement is the card terminal: one cable to the terminal, a decent AP above the counter, done.

The line we push back on is "it's just an office, we don't really need cables." In practice that usually means there's already a server, or one's on the way, or twenty people on Teams calls and someone's been quietly complaining about their connection for months. Those environments benefit from structured cabling, and the longer you wait to do it properly, the more disruptive and expensive the retrofit becomes.

The Cost of Getting It Wrong

We get enquiries, fairly regularly, from businesses who had a network installed by someone without specialist experience, or attempted it themselves, and it's now costing them in lost productivity. Flaky connections, no management visibility, security gaps, no documentation. "The IT guy who set it up left and nobody knows the passwords."

Retrofitting a proper network into a live office means downtime, dust, disruption and more cost than doing it correctly from the start. We're not in the business of scaring clients into spending money they don't need to spend.
